A huge number of businesses are finding it difficult to ignore the obvious benefits of cloud-based computing solutions and the money they could save them day to day. Most have either already begun to take advantage of such systems, or are in the process of evaluating their current solutions to see how ‘the cloud’ could save them both time and money.

 

There are now many cloud-based solutions available that can completely replace some of the more old-fashioned and now somewhat out of date solutions that many businesses still use everyday.

 

For example document storage no longer has to be a physical filing cabinet, or several filing cabinets, taking up valuable real estate in offices all over the world. These old paper documents can be scanned and archived into digital format and stored in a cloud-based archive solution.

 

The average business wastes millions of dollars every year looking for and reproducing lost documents, which is not the case with cloud-based storage. If documents are archived in the cloud they can be text searchable and very quickly retrieved, saving companies both time and money.

 

By storing files in the cloud, businesses also save money on paper, as not all documents have to be printed as a hard copy and can remain in digital format ready to be easily retrieved by searching for the file when needed.

 

Another system that can be replaced with a cloud-based solution is faxing. Manual fax machines have become unfashionable and are now uneconomical compared to their Internet based competitors.

 

By investing in an online fax service and making the old manual fax machine redundant, businesses can save money on paper, ink, electricity and also the purchase and maintenance costs for the machine itself.

 

Similar to online document storage, online faxing allows users to store their faxes in the cloud, (similar to an email inbox but completely secure) which is searchable and a lot more eco-friendly than the old manual fax machine. There are monthly costs associated with Internet fax services, which are usually dependent on the volume of faxes you wish to send and receive, but the time and money that you save compared to manual faxing, more than makes up for that.

 

Two great features of cloud-based solutions are security and simplicity. Minimal hardware, software or in house expertise are required to use these systems. Also they are constantly updating as new technology is developed and you should see the benefits of the changes as standard, without having to purchase new hardware like you would with a manual fax machine for example.

 

However the main reason people are now investing in cloud computing is due to the increased level of productivity that comes as part and parcel with the system. The ability to share information and documents with ease and no risk of data loss, is simply incredible. It’s no wonder that many businesses are excited by cloud computing due to the positive impact it can have on their data security, finances and productivity.
